We found the program to be instantly inviting, with its functions clearly labeled and helpful onscreen instructions popping up along the way to express what data needed to be placed where. We were able to quickly populate a customer database with all billing information, build our warehouse of sale items from scratch, and apply both of these aspects toward creating an invoice. We were pleased with the professional and highly readable look of our invoices. They were perfect for printing and including with a sale. The program also offered simple tools for creating quotes and order forms, which have the same basic appearance as the invoice. Express Invoice also provided an extensive report-running feature. Here we could look at outstanding payments, current inventory, and much more.

Express Invoice is a freeware program. It comes as a compressed file, installs desktop icons without permission, and leaves behind folders after uninstall. We loved the program’s simplicity and recommend it.

Vertex42 specializes in Excel templates. Its Free Invoice Template is designed to give small businesses an easy and inexpensive way to bill their customers. It’s customizable, too, and it even calculates subtotals and taxes. You need Microsoft’s Excel to run it, or a similar program that can run Excel spreadsheets.

As with other Vertex42 templates we’ve tried, Free Invoice Template is a very small download, just under 11KB zipped and 43KB unzipped. We clicked the extracted template, which opened inside Excel 2010 in a protected view. We clicked Enable Editing, which allowed us to make and save changes to create our own documents. The template includes three different invoice styles, each with sample figures that do as good a job as a page of text in showing how the invoices work. We started by entering our company’s name, address, and other information, including tax rates, and then we cleared the cells we’d be entering data into by simply highlighting them and deleting the content. When we’d finished our custom template, we named it and saved it the appropriate directory. To use our custom template, we opened it in Excel, entered the customer’s data and our invoice data, named and saved it, and then either printed it for delivery or e-mailed it to the customer. Entering our data was easy; for instance, we merely had to enter an X to indicate a taxable item, and the spreadsheet would calculate the tax. We could also add comments, company slogans, customer IDs, and do pretty much anything else we could do with an Excel template. TimeTrex is an interesting Web-based, modular, multiplatform payroll and employee time management system. Employees can keep track of their time at the office, at home, and on the road, even from their cell phones. TimeTrex Standard Edition is free and includes the open-source Payroll Module, the Employee Scheduling Module, and the Time and Attendance Module.

TimeTrex’s On-Site client is a substantial download, nearly 56 MB, including the Apache database software. The setup process involves installing the client and then setting up the software via a Web-based process, chiefly initializing our database. We entered our company’s information as well as an administrator username and password. TimeTrex recommends its Online University training program, which is also free, and there’s a PDF-based Administrator’s Guide for getting started. After entering our company data, we entered our Branch data. Every company must have at least one Branch or Location for employees to punch in and out of. We could access these and other settings from the Admin menu. We finished our selections and logged in to the main online interface. This displayed our company’s name and our user name with a Recent Activity Summary of Recent Requests, Recent Messages, Current Exceptions (with severity), and Pending Requests. A toolbar gave instant access to all of the program’s tools and functions, often via simple pop-ups. For instance, clicking In/Out called up a small dialog with our name, the time, and Punch In/Out options. In this way, we could access Time Sheets, Schedules, Reports, MyAccount settings, and Admin functions. The Help menu included not only links to the training material but also FAQs, support forums, and other resources.

There’s certainly a lot to TimeTrex, both in terms of what it offers as well as getting the most out of it. However, at no point did this powerful tool feel at all intimidating in either local or Web-based functions. Far from it–we’d say it’s one of the least confusing and complicated time-tracking programs we’ve tried, despite its many features and options. The freeware has all that most businesses will need, but the developers offer additional modules for special requirements.
